The Customs Administration archives 47 million emails in 6,200 mailboxes with the GFI Archiver 12 solution
The largest deployment of GFI Archiver in the Czech Republic significantly streamlines work with archived emails and helps meet cybersecurity requirements
PRAGUE, December 7, 2016 – GFI Software, a provider of enterprise network security solutions, announced that the Customs Administration of the Czech Republic uses GFI Archiver to manage 47 million archived emails and more than 6,200 mailboxes and to archive email more efficiently. The solution, which makes it possible to significantly reduce demands on the mail server, manage and reduce reliance on PST files, and meet the growing volume of regulatory requirements, represents the largest implementation of this product in the Czech Republic.
The entire archiving solution (1 SQL Server + 1 GFI Archiver Server) was virtualized so that it could be easily transferred between the primary and backup data centers. GFI Archiver 12 is currently in use. Due to the relatively complex method of assigning permissions to archive mailboxes, special scripts were created that reflect the structure and group memberships in Active Directory when assigning permissions.
From the users' perspective, archive searches have become more efficient, and work in the MS Outlook environment has improved, as processed email items can be deleted from the mail client while users can search for this deleted communication in the GFI Archiver application at any time. An important benefit is the ability to log in to GFI Archiver virtually from anywhere (while maintaining security measures) without needing to install software on the given endpoint device. Currently, 60 monthly archive databases are connected online, representing an archive of the last 5 years, approximately 47 million emails, and 15 TB of archive database space, with at least 200 GB of new data generated every month. Older data is archived on magnetic tapes.
Thanks to virtualization and the transfer of data to newer, more powerful storage, it is possible to consider deploying additional features, such as MailInsights, including visualization of communication flows, response times to incoming emails, and users' use of webmail. Due to the Cybersecurity Act, it will also be necessary to monitor unauthorized access to archived data; therefore, testing and deployment of the Auditing feature for auditing operations performed with GFI Archiver is expected.
“Thanks to the introduction of centralized archiving, we are able to keep users' mailboxes within reasonable data volume limits, which is quite essential for an organization operating nationwide,” said Petr Kněžourek, ICT administrator at the Customs Administration of the Czech Republic. “Thanks to the latest version of GFI Archiver, we can efficiently manage a large number of user mailboxes, including, for example, their automatic cleanup.”
