68% of business users struggle with the time-consuming task of creating meaningful responses when using email

PRAGUE, April 29, 2025 – GFI Software, a provider of security solutions for enterprise networks, stated that in a survey among its Czech and Slovak partners, 91% of respondents consider real-time response automation to be the main benefit of artificial intelligence (AI) in business email. They expect AI tools primarily to reduce the time spent handling emails and increase productivity when working with email.

More than two-thirds of business users consider the demanding creation of meaningful responses to be the main challenge in email, while half struggle with an excessive volume of emails. This can lead to delays in important communications and lost business opportunities. Therefore, many companies are now testing AI tools that can shorten the lengthy, routine handling of email communications, increase employee productivity, and reduce response times to important requests.

Key survey findings:

  • For 68% of respondents, the biggest challenge in corporate email communication is creating meaningful responses; for 50%, it is the daily volume of emails; for 32%, regaining focus on their main work activity; and for 29%, sorting and forwarding messages to other people.
  • The main benefit of AI in corporate email is seen by 91% in response automation; 39% see it in protection against spam/malware and searching email archives; and 12% see it in ensuring regulatory compliance.
  • In the area of intelligent email communication automation, 88% of respondents perceive the greatest benefits as reducing the time spent managing emails, 67% as saving costs on email processing, 48% as faster responses to requests, and 30% as more efficient processing of foreign-language emails.

“An enormous number of business emails are created every day, and their number is growing rather than declining,” said Marek Prorok, Eloquens Solutions Sales Manager at ZEBRA SYSTEMS. “More than half of emails consist of unimportant communication that can be processed automatically, thereby saving some of the more than 2.5 hours employees spend handling emails every day. Deploying artificial intelligence in this process represents a fundamental breakthrough in the efficiency of email management and in increasing work productivity.”

GFI Software recently introduced Eloquens, a tool for automating business email communication that eliminates inefficient activities using advanced artificial intelligence technology. Other GFI solutions containing AI technologies include the GFI MailEssentials anti-spam and anti-malware filter, the GFI Kerio Connect mail server and client, and the GFI Archiver archiving solution.
